Travel Cover Information for Swansea University Students

If you are a registered student of Swansea University, you will be afforded use of the University's travel cover whilst travelling on official University business (once the activity has been authorised by your College Supervisor and/or Head of College).

The cover extends to, but is not limited to, exchange year’s abroad, placements and electives.

It should be noted that any student travelling against medical advice cannot make use of the cover wording.

The travel cover available is relevant to -

a) Outside the student covered's Country of Domicile or

b) Within the student covered's Country of Domicile but only where the student(s) are required to obtain overnight accommodation away from the normal place of residence, or

c) Where the journey requires an internal flight, and the flight has been booked in advance of the journey.

N.B. Medical expenses apply to a) above only.

The cover is purely for the length of the time you are away on relevant University business. You should organise your own cover for any holidays or activities taken outside of this period

All travellers should refer to and should take a copy of this form with them.

Making a Claim

In the event of a claim, the traveller must produce evidence that the journey was for University business. Postgraduate students should submit a copy of the with their claim. Undergraduate students should ask their supervisor or organising department to email insurance@swansea.ac.uk to confirm that the travel was fully authorised.

If you need to make a claim, you can download the necessary form here. The form needs to be completed in full, and then sent to insurance@swansea.ac.uk along with any relevant documents.

Please do not send any claim directly to the cover provider. Your claim will be dealt with as quickly as possible. It is important that you provide as much information as you can when completing the form.

Visa application and proof of cover

If you are an international student studying at Swansea, you may need proof of cover in order to apply for a visa if travelling abroad on University business. A letter can be prepared for you for this.

Please e-mail insurance@swansea.ac.uk at least 7 days before and no more than a month before your Embassy appointment so that a letter can be prepared and sent through to you.

The information required is:-

i) Which member of staff has authorised the travel and the reason for the journey;

ii) The intended dates of travel;

iii) The intended country of destination: and

iv) The date of your appointment at the embassy for your application.
