Accommodation Support

Your accommodation will be ready for you to check-in on the start date shown in your Tenancy Agreement.

If you are planning to arrive later than your Tenancy Start Date, you no longer need to take any action. Delayed Arrival Codes are not issued after the main September arrivals period.

• Upon acceptance of the Tenancy Agreement, you are financially liable for the duration of the contract terms.
• You do not need to book an arrival timeslot for your later arrival to accommodation.
• If you wish to discuss your tenancy start and/or end dates, please contact us directly for assistance.

From time to time, students would prefer to change rooms while living in halls of residence for a variety of reasons.

• If you are looking to change rooms before you have arrived at your accommodation, please complete a Pre-Arrival Request.
• If you have already moved in to your accommodation, please complete the In-House Transfer Request.
  
  

Room Swap

We have a Facebook Room Swap group. Post here and you may be able to swap rooms, and the cost is only £5.00. Make sure you state if your flat is: Alcohol-Free, Single Sex or Quiet, Mature area or Postgraduate. If you find someone that wants to swap rooms with you, submit a Room Swap Request Form. We try and process this as quickly as possible when we are notified by both students a swap is wanted.

Request a Transfer

In the first few weeks of the term, many rooms appear to be available, but they are in fact contracted to a student who has arranged a late arrival. It is important you follow guidance form the accommodation team around this, and we will do all we can to support you through the process.

Due to the number of requests at the start of the year, it is unlikely that we will be able to arrange all requests immediately. Where possible, we will try to coordinate moves as quickly as possible, but these can sometimes take 2-4 weeks and it is essential to remember there is no guarantee with this process.

Please note:

• The transfer list will operate in a priority order, based on the date of your application and any medical needs or disabilities.
• There is a £50.00 administration charge for all successful transfers when In-House. Pre Arrival requests do not incur a charge.
• Check your emails regularly. Any updates will be sent to your university email as this is what is connected to your accommodation record.
• Give as much information as possible for your request in order to offer you the best alternative e.g. single sex, alcohol-free etc. 
• The request must be renewed every 28 days or the request will expire. If you do not follow the process, you will be required to submit a new request which will delay your transfer.
• After the offer is made, you will have 3 days to accept it before it is cancelled. This new room offer is sent to your student email address.
• A transfer may not be considered if there is any outstanding debt.

Students who accept a contract for University accommodation do so for the full period shown on their contracts, which will normally be for a whole academic year or that portion which is yet to run. The Standard Occupation Contract creates a legally binding obligation between the student/contract-holder & the Landlord. The Standard Occupation Contract is a fixed-term contract which cannot be brought to an end before the End Date (other than in the exceptional circumstances shown below) and the Student is liable to pay the Accommodation Fees for the whole Contract Period.

Students are advised not to sign any Contract without formally being released from the Occupation Contract with the University. This is to avoid the risk of being liable for two separate Occupation Contracts.

Withdrawing, Deferring or Suspending your Studies:

The Student will be entitled to be released from the Occupation Contract with 6-week notice period if one of the following conditions apply. The Student:

• Does not commence their course at the University.
• Deferrers their studies at the University.
• Is suspended from studying at the University.
• Withdraws from studying at the University.
  
  

If you are living in University accommodation, it is your responsibility to take the following action. Your financial liability will not end until you have completed the following:

• Formalise your decision to withdraw/suspend/defer your studies with your academic department. Learn more about the Transfers, Withdrawals and Suspensions process here.
• Submit a Release from Accommodation Request
• Clean and remove all belongings and rubbish from your room.
• Return all keys to the accommodation back to the Site Reception.

Notice

• A 6-week notice period is applicable to students officially withdrawing, suspending or deferring studies.
• You are able to stay in your room and you will be financially liable for the 6 weeks’ notice period.
• Please note, failure to notify Residential Services could result in full liability for the total accommodation fees.

If your possessions are left in the dwelling or any part of the residences after the end of this contract, the landlord is entitled to treat them as abandoned and you agree that they can be removed and disposed of by the landlord. You agree that the landlord is not obliged to store the goods for any period of time before it disposes of them.
